What is a good faith exam?
A good faith exam is a medical evaluation performed by a licensed provider before a patient receives a medical aesthetic or wellness treatment. It establishes the patient-provider relationship, assesses suitability, and produces the order authorizing treatment. Most states require one before injectables, IV therapy, GLP-1s and comparable services.
Is a telehealth good faith exam compliant in my state?
In most states, yes — a virtual good faith exam performed by telemedicine satisfies the requirement when the provider is licensed in the patient's state and a patient-specific order is documented. Qualiphy routes every patient to a provider licensed in their state at the moment of the exam, and flags where a state's rules require a different workflow. Requirements vary by state and treatment; bring your states to the demo and we'll map them live.
Is Qualiphy HIPAA compliant?
Yes. The video visit and all exam records are handled in a HIPAA-compliant environment, and documentation is stored with provider identity and license attached, retrievable on demand.
What exactly does my receptionist do?
Opens the patient in the Qualiphy portal, picks the exam type, and either hands over a tablet or texts the patient a link. That's the whole job: no clinical judgment, no scheduling, no chasing a provider. Front-desk staff are typically running exams within their first shift.
What exactly does the patient do?
Taps a link. There is no account to create, no app to download and no password to remember. They complete a short intake and connect to a licensed provider on video, inside your branded flow, on the device already in their hand.
How fast does a provider answer?
About 17 seconds on average. There is no scheduling step. The patient connects to whichever licensed provider in their state is available at that moment, any time inside provider hours.
Does the patient leave my brand?
With white label enabled, the exam runs from your website, EMR or booking page, so the patient stays inside your flow rather than being redirected to a separate portal and asked to start again somewhere unfamiliar.
What happens after approval?
A written patient-specific order, not just a clearance note, is issued and filed against the patient record, along with the full exam documentation. Any prescription is dispatched within the hour. Your team can treat immediately.
What happens after a rejection?
The declination and the clinical rationale are documented exactly the same way an approval is. That record is an asset: it shows a licensed provider evaluated the patient and made a considered decision, which is precisely what an auditor or a plaintiff's attorney will ask you to produce.
Where does the documentation go?
Into the Qualiphy portal against the patient record, timestamped, with the provider's identity and license attached. It can be retrieved on demand and pushed into your own system.
Does my medical director see it?
Yes. Exam records are available to your practice, so your medical director can review provider decisions, spot patterns and satisfy their own oversight obligations without sitting in on every exam.
Can it enter my EMR automatically?
Yes, through the Aesthetic Record and IntakeQ integrations, or through the API if you run something custom. Documentation lands in your record without anybody re-typing it.
Does Qualiphy bill the patient, or bill me?
Qualiphy bills the clinic, never the patient. Your patient has no financial relationship with us at all.
Can I mark up the service?
Yes. Because the clinic is billed, you control the patient-facing price entirely: charge separately, bundle it into the treatment, or absorb it as a cost of doing business. Most clinics find it becomes a margin line rather than an expense.
What if I have five locations?
One account covers all of them, and the provider network spans 48 states and D.C., so a second, third or fifth location doesn't require a second, third or fifth clinical hire — and expanding into a new state doesn't mean rebuilding the licensure infrastructure there.
What if I need asynchronous workflows?
Asynchronous good faith exams are supported for the treatments and states where a live visit isn't required. Many clinics run live video for walk-ins and async for pre-booked or overnight volume.
What happens outside provider hours?
Providers are on from 5:00am to 8:00pm PT Monday to Saturday, and 6:00am to 7:00pm PT on Sunday — 8:00am to 11:00pm ET on weekdays and Saturdays, covering the full treating day in every time zone we serve, evenings and weekends included. Outside those hours, and for treatments where a live visit is not required, the asynchronous workflow keeps the patient moving until a provider picks it up.
How often are good faith exams needed?
It depends on the state, the treatment and how much time has passed since the last exam. Qualiphy flags re-exam cadence by treatment and state so repeat patients don't quietly fall out of compliance.
Is Qualiphy available in my state?
Qualiphy is available in all states (plus DC) with the exception of Mississippi and Alabama.

Can Qualiphy be used when a practice already has a medical director?
Yes. Qualiphy works alongside your existing medical direction, not in place of it — your medical director keeps clinical governance and full visibility into every encounter record, and our providers work within the protocols you configure. We cover the gaps your own team can't: after-hours, weekends, walk-ins, and states your medical director isn't licensed in.
After a virtual GFE exam is completed, what documentation is provided to the practice, and can it be integrated or uploaded into our EMR?
A written patient-specific order, plus the full exam record behind it — provider identity and license, intake responses, the clinical decision and its rationale, timestamped, with declinations documented the same as approvals. It's filed in the portal against the patient record and retrievable on demand for an audit or board request. And yes — it can flow into your EMR through a direct integration or our API, so nothing gets re-typed. Bring your EMR to the demo and we'll confirm how it connects.
How long is a completed good faith exam valid?
It is based on the service offering and what is considered reasonable. It also depends if the patient experiences a change in their medical status, which would require an updated examination.
Are exams available on demand, and what are your typical provider availability/hours?
Yes — exams are fully on demand, with no scheduling step at all. Your patient taps a link and connects to whichever licensed provider in their state is free at that moment, in about 17 seconds on average. There's no appointment to book, no calendar to coordinate, and no waiting on one specific provider to come available. With 1000+ licensed providers across 48 states and D.C., the network absorbs walk-ins, weekend volume and seasonal spikes without you staffing for peak. Provider hours are Monday–Saturday: 5:00am–8:00pm PT (8:00am–11:00pm ET) and Sunday: 6:00am–7:00pm PT (9:00am–10:00pm ET). That's fifteen hours a day Monday through Saturday and thirteen on Sunday, covering the full treating day on both coasts — evenings and weekends included. Outside those windows, and for treatments and states where a live visit isn't required, asynchronous workflows keep patients moving until a provider picks the case up.
Is there anything required from my medical director or practice before I can begin using Qualiphy?
Almost nothing on our side. There's no implementation project, no onboarding fee and no software to install — most practices are set up in about ten minutes and running exams the same day, with front-desk staff typically comfortable within their first shift. What is worth doing first is a short conversation with your medical director about which exam types to enable and whether your protocols call for anything stricter than the defaults. Exam types are configurable to match the protocols your practice already follows, so those decisions are better made up front than retrofitted later. Beyond that, your practice keeps the responsibilities it already carries — its own licensure, scope of practice and standard of care. Qualiphy supplies the exam, the licensed provider and the documentation; it doesn't change what your practice is permitted to do. If it's useful, bring your medical director to the demo. Most of their questions get answered in the first ten minutes.
