What “White Labeled” Actually Means in Telehealth Software

Most vendors call themselves white label when they can put your logo in a corner. That is skinning, not white labeling. Your brand has to hold at four separate points for the patient never to learn our name.

The test worth applying to any vendor: ask whether the patient ever sees a name that isn't yours — on the link, on the intake form, in the video window, on the receipt, or in the chart. If the answer is yes anywhere, it is a branded interface, not white label telehealth software.

Visit modes

Synchronous and Asynchronous Exams, on the Same Platform

Some encounters need a live conversation. Others don't, and forcing one costs you bookings after hours. Qualiphy supports both modes under the same branding, the same provider network and the same record — and the choice is configured per encounter type, not fought over per patient.

Synchronous

Live Video Encounter

The patient taps a link and connects to a licensed provider in their state, on average in about seventeen seconds. There is no appointment to book and no calendar to coordinate — they connect to a locally licensed provider that is available at that exact moment.

Best for
First-time patients, injectables and IV clearance, anything where a conversation changes the clinical decision, and treatments or states that require live interaction.
What the patient experiences
Intake on their phone, then a face-to-face video visit inside your branded flow.
Timing
Start to finish in minutes, inside provider hours — seven days a week.
Asynchronous

Store-and-Forward Review

The patient completes intake and submits what the protocol requires. A licensed provider reviews the submission, makes the clinical decision and returns a written order — without the patient sitting and waiting for a video window to open.

Best for
Volume that arrives after hours, repeat and established patients, and treatments and states where a live visit isn't required.
What the patient experiences
A short branded intake, then a notification when the order is ready. No waiting room, no appointment.
Timing
Submitted anytime; reviewed when a provider picks the case up (typically within one hour).

Why It Matters

Patients Who Arrive After Hours Still Get Seen

A patient who arrives at 10 p.m. doesn't hit a closed door. Asynchronous workflows keep them moving until a provider picks the case up, instead of asking them to come back tomorrow.

State Rules Decide the Mode, Not Your Front Desk

Whether a given treatment can be handled asynchronously depends on the state and the treatment. The platform lets you configure that per encounter type so the right mode is enforced rather than chosen ad hoc at the front desk.

The Same Record, Either Way

Both modes produce the same documentation: provider identity and license, intake responses, the decision and its rationale, timestamped, with declinations recorded like approvals.

Whether an encounter may be conducted asynchronously depends on the treatment and on the state in which the patient is located, and those requirements change. Qualiphy provides both modes and the documentation behind them; which one applies to a given service is a decision for your practice and your medical director.

The gap

Most White Label Telehealth Software Stops at the Interface

Buying telehealth software looks like a software decision. It isn't. The interface is the easy part, and every vendor has solved it.

The hard part sits behind it: licensed providers in every state you serve, coverage during every hour you operate, audit-ready documentation, and a clinical team accountable when a patient needs care at 7 p.m. on a Saturday. Skinned software leaves all of that to you — which is how a ten-minute purchase becomes a six-to-twelve-month build.

Problem 01 · Providers

Software Doesn't See Patients

A branded video window still needs a clinician on the other end. You recruit, credential and schedule them yourself — for every state you serve and every hour you're open.

Problem 02 · Licensure

Every State Is Its Own Project

Each state requires providers licensed in that state. Opening a second location turns into months of paperwork before a single patient is seen there.

Problem 03 · Coverage

Patients Arrive Evenings and Weekends

In-house coverage means paying for hours nobody books, and turning away the walk-in who shows up outside them.

Problem 04 · Documentation

The Record Is the Deliverable

A telehealth encounter is only as good as the trail it leaves. Building that correctly — provider identity, license, decision, rationale, timestamp — is its own engineering project.

Most practices don't want to become a telehealth company. They want telehealth to work, under their own brand, at the flip of a switch.

Build vs. buy

Four Ways to Add Telehealth. Three of Them Are Projects.

White label telehealth software gives you a branded video window. A telehealth vendor gives you a branded video window and an invoice. A fully managed white label platform gives you licensed providers, multi-state coverage, both visit modes, EMR-integrated documentation, and a workflow your front desk can run on day one.

The platform

Telehealth Software That Runs Under Your Brand, Not Ours

Your patients should never learn our name. The white label platform runs inside the booking flow, website and records system you already own — with or without a line of code.

Physician using a white label telehealth platform
Branding

White Label

Patients connect from your site, your records system or your booking page. The visit happens inside your brand, never a separate portal.

Developers

Telehealth API

Trigger encounters programmatically from your own stack and pull results, written orders and documentation back automatically. Entirely optional.

Operations

Fully Managed

Providers, routing, licensure, documentation and Rx dispatch are operated for you. Nothing to staff, nothing to maintain.

Records

EMR Integration

Documentation lands in your record without anybody re-typing it, through direct integrations or the API.

Workflow

Sync and Async

Run live video, store-and-forward, or both — the workflow follows the treatment and the state, not the vendor's preference.

Configuration

Custom Encounter Types

Configure the intake questions, exam types and protocols your practice actually uses, to match what your medical director requires.

How it works

A Branded Telehealth Encounter, Start to Finish, in Minutes

Roughly ten minutes to set your practice up. Seventeen seconds, on average, to connect a patient to a licensed provider in their state. The sequence below is the synchronous path; the asynchronous path splits after step two.

What Your Team Does

  1. Open the patient in the portal and select the encounter type.
  2. Hand over a tablet, or send a link to their phone or email.
  3. Result and written order land in the chart before the patient leaves.

What the Patient Does

  1. Taps the link. No account, no app, no password.
  2. Answers intake, then speaks with a provider or submits for review.
  3. Completes the visit inside your branded flow.

What Qualiphy Does

  1. Routes the patient to a provider licensed in their state, in about 17 seconds.
  2. Documents the encounter, the decision and the rationale automatically.
  3. Dispatches any prescription and returns records to your system.
Provider hours. Monday–Saturday 5:00am–8:00pm PT (8:00am–11:00pm ET) · Sunday 6:00am–7:00pm PT (9:00am–10:00pm ET). No scheduling inside those windows — your patient connects to whichever licensed provider is free at that moment. Outside them, asynchronous workflows keep patients moving until a provider picks up.

What you can run on it

One White Label Platform, Every Encounter Your Practice Needs

Good Faith Exams are the most common reason practices sign up, but they are one part of what the software supports. The same account, the same branding and the same provider network cover the rest — at no additional platform cost.

Good Faith Exams

On-demand GFEs before injectables, IV therapy, GLP-1s and peptides — with a written patient-specific order, not just a clearance note.

Patient-Specific Orders

Written orders from a licensed provider, filed against the patient record and available to your medical director.

Prescriptions & Rx Fulfillment

Prescriptions dispatched within the hour, shipped to the patient's home or routed to their pharmacy.

At-Home Testing & Lab Kits

Order lab work and at-home test kits inside the same workflow, with results returning to the same record.

Asynchronous Visits

For treatments and states where a live visit isn't required, and for volume that arrives after hours.

Custom Encounter Types

State Licensure Matching

Every patient is routed to a provider licensed in that patient's state at the moment of the encounter, across 48 states and D.C.

Always-On Capacity

No scheduling step and no single provider to depend on. The network absorbs walk-ins, weekend volume and seasonal spikes without you staffing for peak.

Quality Control

Provider decisions are documented on every encounter — identity, license, content and rationale — reviewable by your practice and your medical director.

Escalation Pathway

Non-routine cases are declined or escalated rather than rubber-stamped, and a declination is documented with the same rigor as an approval.

Your Brand, Our Bench

Providers introduce themselves as working on behalf of your practice. The clinical capacity is ours; the relationship stays yours.

Compliance

A Record You Can Show an Auditor, Not Just a Video Call

The difference between telehealth software and a telehealth partner is what exists after the encounter ends — in either visit mode.

Written Patient-Specific Orders

Not a clearance checkbox. The distinction most state boards actually care about.

Provider Licensed in the Patient's State

Verified at the time of the encounter, not assumed from a roster.

Timestamped Documentation

Provider identity, license, encounter content, decision and rationale, on every visit.

Approvals and Declinations Both Recorded

A declined patient becomes a defensible record instead of a gap in the chart.

Medical Director Oversight, Built In

Records are available to your practice, so your medical director can review provider decisions without sitting in on every visit.

Retention & Retrieval

Pull any encounter record on demand for an audit, a board request or a malpractice inquiry.

Requirements vary by state and by treatment. Qualiphy provides the encounter, the licensed provider and the documentation; your practice remains responsible for its own scope, licensure and standard of care.

Who it's for

White Label Telehealth Software for Med Spas, Clinics and Wellness Businesses

Any business whose customers already care how they look, feel, recover, perform and age is one clinical layer away from a new revenue line. Qualiphy supplies the licensed providers, so adding that layer doesn't mean hiring one.

Med Spas

Add a branded virtual care layer without hiring a nurse practitioner for every open hour. Clear injectables, IV therapy, GLP-1s and peptides the moment the patient is ready.

Aesthetic & Wellness Clinics

On-demand licensed coverage across the whole treatment menu, with written orders and documentation on every encounter, all under your own name.

Longevity & Hormone Practices

Hormone therapy, IV, weight management and longevity protocols — live or asynchronous, same provider network, same records.

Chiropractic Practices

Your patients already come to you about recovery, mobility and pain. Weight management, peptide protocols, IV therapy and lab panels sit naturally alongside that work — and with a licensed provider network behind the exam, you can offer them without adding a prescriber to payroll.

Gyms, Studios & Tanning Salons

Members are already paying you to help them look, feel and perform better. GLP-1 programs, peptides, prescription wellness plans and at-home lab testing turn that relationship into a recurring clinical revenue line, delivered under your own brand rather than a referral out the door.

Multi-Location & Multi-State Groups

One telehealth system across every location, with nationwide provider coverage instead of rebuilding a clinical bench in each new market.

FAQs

Questions Operators Actually Ask About White Label Telehealth

What makes this white labeled telehealth software rather than a branded portal?
Your patients start in your environment and stay there. The link, the intake, the encounter and the receipt all carry your brand, and the record lands in your EMR. They never create an account with Qualiphy, never see a Qualiphy-branded portal, and never receive a charge from us. Most vendors that describe themselves as white label are swapping a logo inside their own flow — that is a different product.
Do you support both synchronous and asynchronous exams?
Yes, on the same platform and under the same branding. Synchronous encounters connect the patient to a licensed provider on live video, on average in about seventeen seconds. Asynchronous encounters let the patient submit intake and leave, with a licensed provider reviewing the submission and returning a written order. Both produce the same documentation.
When should we use asynchronous instead of live video?
It depends on the treatment and the state the patient is in, not on preference. Asynchronous suits established patients, repeat services, and volume that arrives outside provider hours. Live video suits first-time patients, anything where the conversation changes the clinical decision, and any treatment or state that requires a real-time interaction. Your medical director sets which encounter types run which way, and the platform enforces it.
Can we run both modes at once?
Yes. The mode is configured per encounter type rather than per account, so one practice can run live video for injectable clearances and asynchronous review for refills and after-hours submissions, with the same branding and the same record format across both.
Can the software run on my own domain and inside my booking flow?
Yes. The visit can be launched from your website, your booking page or your records system, and the patient stays inside that experience for the whole encounter. There is no separate destination to send them to and no app to download.
Is this a telehealth platform, or a telehealth service?
Both, and that's the point. Most vendors sell software and leave the hardest part — finding licensed providers in every state, covering every hour — to you. Qualiphy includes the provider network, so the software actually sees patients.
Do you provide the providers, or do I bring my own?
We provide them: 1000+ licensed physicians, nurse practitioners and physician assistants across 48 states and D.C. You can also route to your own providers where you prefer — many practices run both.
How fast can we launch white label telehealth?
About ten minutes to set up a practice and run a first encounter. Onboarding is fast and easy, with no onboarding fee and no engineering work required unless you specifically want the API.
Do you have a telehealth API?
Yes. You can trigger encounters programmatically from your own stack and pull results, written orders and documentation back automatically. The API is optional — the portal works on its own with no development at all.
Does it integrate with my EMR?
Yes. Documentation and written orders flow into your record through a direct integration or the API, so nothing gets re-typed. Bring your EMR to the demo and we'll confirm exactly how it connects.
Which states are covered?
48 states plus the District of Columbia — every state except Mississippi and Alabama. Every patient is routed to a provider licensed in that patient's state at the moment of the encounter, so opening a location in a new state doesn't mean rebuilding licensure infrastructure there.
What can my patients be seen for?
Good faith exams, patient-specific orders, prescriptions and Rx fulfillment, at-home testing and lab kits, and asynchronous visits — across 90+ covered treatments spanning aesthetic, IV, weight-management, hormone and longevity care. Custom encounter types can be built to your protocols.
Can I use it just for good faith exams?
Yes, and most practices start there. GFEs are the most common first use case; the same account covers every other encounter type whenever you want to add them, at no additional platform cost.
How fast does a provider answer?
About 17 seconds on average for a synchronous encounter. There is no scheduling step — the patient connects to whichever licensed provider in their state is available at that moment, any time inside provider hours.
What happens outside provider hours?
Providers are on 5:00am–8:00pm PT Monday through Saturday and 6:00am–7:00pm PT on Sunday, covering the full treating day on both coasts. Outside those hours, and for treatments where a live visit isn't required, asynchronous workflows keep patients moving until a provider picks up.
Does my medical director keep oversight?
Yes. Qualiphy works alongside your existing medical direction, not in place of it. Your medical director keeps clinical governance and full visibility into every encounter record, decides which encounter types run synchronously or asynchronously, and our providers work within the protocols you configure. We cover the gaps your own team can't: after-hours, weekends, walk-ins, and states your medical director isn't licensed in.
Does Qualiphy bill my patients?
Never. Qualiphy invoices the practice. Your patient has no financial relationship with us at all, and you set whatever price they see.
Is there a subscription or minimum volume?
No. No sign-up fee, no monthly platform fee, no minimums and no annual contract. You pay per completed encounter and can cancel anytime.
What if I operate in multiple states?
One account covers every location, and the provider network spans 48 states and D.C. A second, third or fifth location doesn't require a second, third or fifth clinical hire, and expanding into a new state doesn't mean rebuilding licensure there.
How long is a completed good faith exam valid?
It depends on the service offering and what is considered reasonable, and on whether the patient experiences a change in medical status that would require an updated examination.
Is anything required from my medical director before we begin?
Almost nothing. Onboarding is fast and easy, with no onboarding fee and no software to install — most practices are set up in about ten minutes and running exams the same day. What is worth doing first is a short conversation with your medical director about which exam types to enable, which of those run synchronously or asynchronously, and whether your protocols call for anything stricter than the defaults. Beyond that, your practice keeps the responsibilities it already carries: its own licensure, scope of practice and standard of care.
